Duties and Responsibilities

As a receptionist or general administrative assistant you will be involved in a variety of functions that support the work unit including:

  • Booking Boardrooms
  • Receiving and directing phone calls
  • Courteously greeting walk in clients and informing appropriate personnel
  • Receiving and distributing incoming mail
  • Organizing photocopying and printing as required

Administrative Support-Finance (Administrative Support 4)

Duties and Responsibilities

As a Finance Administrative Assistant in the regional offices you may be involved in a variety of functions that support the work unit including:

  • receiving and directing public inquiries
  • reviewing and reconciling manpower charges for the Area
  • reviewing time certificates on the computer tracking application (FIRES)
  • preparing and sending out offer letters to seasonal staff
  • preparing commencement packages and registering seasonal staff for their employment period
  • creating and maintaining a database on all seasonal staff in the Area

Program Area/Division Administrative Support (Administrative Support 4)

Duties and Responsibilities

As an administrative assistant at this level you will be responsible for providing a variety of administrative services for the office (depending on location and specific branch needs) including:

  • providing human resource administrative functions including processing wage commencements and timesheets
  • reviewing expense claims and tracking expenditures
  • preparing documents and correspondence including processing memos, letters, spreadsheets and department forms
  • organizing and coordinating filing of documents
  • provide client services through fielding and directing public inquiries

Duties and Responsibilities

As a Human Resources Assistant at the AS 5 Level you will be involved in a variety of HR functions that support the Human Resource Consultants in Staffing, Employee Relations, Classification and Report Generating. Typical duties may include:

  • assisting in the preparation and posting of position advertisements
  • coordinating interview schedules
  • updating the Human Resources Information Management System with pertinent competition data
  • preparing competition correspondence including offer and regret letters
  • assisting Human Resource Consultants in position classification processes
  • assisting Human Resource Consultants in Employee Relations actions including correspondence preparation and file updates
  • assisting with the analysis for growth/entry-level administrative support reclassification requests

Duties and Responsibilities

As an Administration Team Lead you will be leading a team of administrative assistants focusing on the Area's Finance Administration. Typical duties may include:

  • supervising a team of Administrative Support Staff often located in a variety of locations
  • providing assistance and advice regarding the preparation, development and administration of all contracts and grants in accordance with the policies, procedures and guidelines
  • participates in the preparation of business cases, bidding process and writing of tender documents
  • reviewing payment documents and preparing financial reports

Administration Team Lead-Human Resource Administration (Administrative Support 6)

Duties and Responsibilities

As an Administration Team Lead you will be leading a team of administrative assistants focusing on the Area's Human Resource Administration. Typical duties may include:

  • preparing Area Staffing Requests
  • reconciling leave, overtime and other benefits for staff
  • coordinating and preparing responses and searches relating to Freedom of Information requests and Action Requests for the Area
  • working with the Area Finance Administrative Team Lead to assist in preparing budget forecasts for the Area
  • tracking Area performance agreements and ensuring training records are up to date

Finance and Administration Unit Lead-Area (Administration 1)

Duties and Responsibilities

As Finance and Administration Unit Lead you are responsible for the Area's Administration unit. The Finance and Administration Unit Lead acts as a senior level administrative resource and planning co-ordinator in Area Business Planning, Financial Administration, Human Resource Administration and Record/Asset Management. Typical duties may include:

  • supervising the Administrative support unit which may include staff in a number of locations
  • co-ordinating, monitoring, reviewing and completing essential expenditure roll-up and forecasting throughout the financial year
  • monitors procurement of goods, services, and assets as determined by the approved budget
  • provides guidance and advice in establishing contractual agreements and collaborates with financial services in establishing contracts
  • overseeing the Area Human Resource Administration
  • overseeing and monitoring the electronic and paper-based records management systems

  • Two-year diploma in a related field plus 3 years related experience; or equivalent as described below

  • acting as the primary contact between the Minister and Deputy Minister's Offices

As an Administrative Assistant to Executive you will be involved in a variety of functions that support the work unit including:

  • composing memos and letters for the Executive and proof reading prepared correspondence for accuracy, grammar and proper format
  • directing and guiding divisional and/or departmental administrative support staff on form, accuracy and content of correspondence that requires Executive signature
  • researching information from a variety of sources in order to respond to action requests

Duties and Responsibilities

As a Senior Administrative Assistant to Executive you will be involved in a variety of functions that support the work unit including:

  • providing Leadership and Coordination for the day-to-day operation of the Executive's Office
  • supervising administrative staff assigned to the Executives Office
  • preparing contracts for signature of the Executive and ensures relevant reporting documentation is submitted and contract payments are processed.
  • ensuring the coordination of background, research and briefing materials
